Terms & Conditions

Welcome to Adventure Monastery. By booking a trip with us, you agree to the following terms and conditions. Please read them carefully before confirming your reservation.

Payment & Deposit

  • Booking Deposit: A non-refundable deposit of 30% of the total trip cost per person is required at the time of booking to secure your reservation, local guides, porters, domestic flights, and permits.
  • Restricted Area Treks: For expeditions involving restricted areas (e.g., Kanchenjunga, Manaslu, Upper Mustang), deposit requirements may increase up to 40% to cover advance permit fees paid directly to the Nepal Government.
  • Final Payment: The remaining balance must be paid upon arrival in Kathmandu prior to trip departure. Payments can be made in Cash (USD, EUR, GBP, or NPR) or via Credit Card (credit card transactions incur a 3.5% processing fee).

Cancellation & Refund Policy

  • 60+ Days Prior to Departure: Loss of initial deposit only.
  • 30–59 Days Prior to Departure: 50% of the total trip price is forfeited.
  • 15–29 Days Prior to Departure: 75% of the total trip price is forfeited.
  • Less than 14 Days / No Show: 100% of the total trip price is forfeited.

Lifetime Deposit & Rescheduling

  • Flexible Transfer: If you cancel your trip at least 30 days prior to departure due to unforeseen personal circumstances, your deposit will be converted into a Lifetime Credit.
  • Credit Usage: You can apply this credit toward any future Adventure Monastery trip or transfer it to a friend or family member.
  • Price Adjustments: Rescheduled trips are subject to any updated permit fees, domestic flight rate changes, or operational cost increases at the time of rebooking.

Force Majeure & Unforeseen Events

  • Itinerary Adjustments: If a trip is delayed, altered, or canceled due to circumstances beyond our control such as severe weather, landslides, flight disruptions (e.g., Lukla or Bhadrapur delays), political strikes, or natural disasters we will offer a suitable alternative itinerary.
  • Non-Recoverable Costs: If no alternative itinerary is accepted, we will refund your payments minus non-recoverable expenses already incurred on your behalf (such as non-refundable domestic flight tickets, issued government permits, or advance lodge bookings).

Incomplete Treks & Early Termination

  • No refunds or partial discounts will be issued for unused services, unused days, voluntary withdrawal, or early descent from a trek.
  • If you must leave the trail early due to altitude sickness, personal injury, illness, or physical exhaustion, any additional expenses incurred (such as extra hotel nights in Kathmandu/Pokhara, personal ground transport, or medical evacuations) are your sole responsibility.

Mandatory Travel & Rescue Insurance

  • Required Coverage: Comprehensive travel and medical insurance is mandatory for all clients participating in our high-altitude treks, white-water rafting, canyoning, or paragliding trips.
  • Specific Policies: Your insurance policy must explicitly cover high-altitude trekking (up to the maximum elevation of your specific itinerary, e.g., 5,500m+), emergency helicopter evacuation, medical treatment, and repatriation.
  • Proof of Coverage: Proof of your insurance policy details must be provided to Adventure Monastery prior to starting your trip.

Guide Authority & Trip Safety

  • Leader Decisions: For your safety and the well-being of the group, the decision of your Lead Expedition Leader (or designated guide) is final on all matters regarding route changes, weather hazards, health risks, and safety protocols.
  • Client Conduct: Clients who fail to comply with safety instructions, engage in illegal acts, or compromise the safety and enjoyment of the group may be asked to leave the expedition without a refund.
